See what’s included — and what still needs confirming.

This worked example starts with published prices from two Kent wedding venues.

Planning scenario: 60 day guests and 20 additional evening guests, on a weekday between April and September 2027, outside school and bank holidays. This is a planning assumption, not a confirmed booking date.

Published prices, not personalised quotes. Availability and a fully comparable total still need confirming. This example does not show a saving.

The spreadsheet helps you separate confirmed costs from unanswered questions, so missing information does not disappear into the total.

This is a static sample. The downloadable CSV contains the same information, without spreadsheet formulas.

Mount Ephraim

Read Mount Ephraim’s published prices

The 2027 package is £16,040 for 60 day guests and 80 evening guests, including VAT. Its £1,500 weekday reduction applies Monday to Thursday outside school holidays.

£16,040 − £1,500 = £14,540

DJ provision is not confirmed by the information used for this example.

Winters Barns

Read Winters Barns’ published prices

The selected Winters Package starts from £15,250 for Monday to Thursday, April to September 2027, with 60 day guests and up to 100 evening guests. VAT and an evening DJ are listed as included. Bank holidays have a different published rate.

Before comparing the totals

These packages have different inclusions. We have not assigned invented prices to accommodation differences, removed package allowances or calculated a saving.

“Evening guests” does not automatically mean additional guests. Ask each venue to confirm that its allowance covers your 60 day guests plus 20 additional evening guests. A lower guest count does not automatically reduce a package price.

A listed inclusion must still appear in your own written quote. Your date, availability, guest requirements and final comparable total remain unconfirmed.

Neither venue is affiliated with or endorses The Wedding Venue Check. Their published information is used here to explain the comparison process.

The Wedding Venue CheckGuide sample

Agree your guest numbers before comparing prices.

Two packages can sound similar while covering different parts of your day. Write down one guest plan and use it for every venue on your shortlist.

  1. Separate day and evening guests.Record guests attending during the day, then people joining only for the evening. If everyone stays, the evening total is both groups together.
  2. Check what the venue means.Ask whether its evening allowance is the total attending that evening or people joining later. Keep the venue’s answer alongside the quote.
  3. Keep unanswered questions visible.Use “Not confirmed” until the venue gives you an answer. A blank figure does not mean the cost is included or zero.

A question you can send

“We’re planning for 60 day guests, with 20 more joining in the evening. Does this package cover all 80 people in the evening? Please confirm what food and drinks are included for each group.”

Keep the samples.

Open the workbook in Excel, or upload it to Google Drive and open it in Google Sheets. Keep the guide page for your next venue conversation.

This is the real workbook with one venue sheet: the status choices, the VAT position and the total that stays “Not confirmed” all work. The full kit adds five venue sheets, the Compare tab that puts them side by side, the evidence log and four completed examples. The guide is a self-contained HTML page you can read offline and print on A4. Prefer a PDF? Download the same guide page as an A4 PDF. These are sample files, not the complete kit.
